Today I want to ask you this question : Are you Ready to Hire a Virtual Assistant and grow your team? There comes a time in every entrepreneur’s life when they realize they just don’t have enough time in the day to get it all done, and they are spending too much time doing things that are very important, but are not moving the needle enough in the business. As entrepreneurs, we need the time to focus on planning, strategizing, growing, serving our clients – and yes – we need to delegate in order to grow.

Our goal is to ensure that the entrepreneurs are ready to take this step into growing their team and helping to make the process as smooth as possible. Sometimes though, we do meet founders who are not sure if they are fully ready to make the leap into growing a team to help them scale their business. Over time, I’ve found that there is a pretty simple process to getting ready to hire your first VA.
Hopefully these tips will help you determine if you are ready to start – or can also give you the roadmap to your next step in the growth process.
1. BE CLEAR WITH TASKS YOU WILL DELEGATE AND HOW MUCH TIME THEY TAKE
Make a list of all the tasks that you plan on giving to your virtual assistant and estimate how long each task will take based on the time it takes you to complete them weekly. This will allow you to see for one, how many hours you need a VA for on a weekly basis, and also see clearly in front of you what tasks you can plan to delegate to a new team member.
2. DETERMINE THE INCOME YOU CAN GENERATE WITH THE TIME YOU WILL NOW HAVE EACH WEEK
Now that you can see the time you will be able to create for yourself as an entrepreneur to grow your business – what are the things you plan on doing with your new hours every week? Based on this, I invite you to estimate the value of new income you will be able to generate with the energy and time you will be able to add into your business every week. This will allow you to put things into perspective to realize that hiring a VA isn’t that expensive considering all the income I can make now with this new time.
3. HAVE SYSTEMS IN PLACE (SOPs) FOR THE TASKS YOU WILL DELEGATE
This piece many entrepreneurs don’t often think about right away – yet it is a very important step as the person you are bringing onto your team should be following your brand systems. For example, if you have a specific system in place for putting together your social media content, like a training video or SEO, then you can ensure the work is done similarly to the way you would have done it – or better!
4. HAVE YOUR BRAND ASSETS PREPARED
Think logos, fonts, colours, pictures, videos, templates and brand guidelines – any sort of content assets that you use for your business. These need to be organized within a system like a project management software or a google drive, that your VA will have access to in order to do their work to the highest level.

5. HAVE A SYSTEM IN PLACE FOR WEEKLY DELEGATION / COMMUNICATION
We suggest you have a clear plan on how you will be working and communicating with your Virtual Assistant on a daily or weekly basis. You can use a project management system like ClickUp, Asana, Teamwork, Slack – or perhaps you just wish to use emails and plan your weekly task list on a Google doc. All is ok, as long as you have the most efficient system in place for your weekly delegation and workflow that is best for you and your business..
